When to contact the DPO
- You want to understand how a municipal office collects, uses, discloses, retains, or protects personal data.
- You want to exercise a right described in the Data-Subject Request Procedure.
- You believe personal data was sent to the wrong recipient, exposed, lost, altered, or accessed without authority.
- You have a concern about a privacy notice, consent statement, data-sharing practice, or website feature.
What to include
Use the subject “For the Data Protection Officer.” Briefly describe the service or municipal office involved, the date or period, what happened, and how you would like us to respond. Include only the personal data needed to understand the concern.
Do not send passwords, private tracking codes, complete government identification numbers, medical records, or evidence files by ordinary email unless the DPO gives you a secure method. Urgent threats to life, safety, or active crime should be reported through the appropriate emergency channel.
What happens next
The DPO or an authorized privacy contact will acknowledge and assess the concern, may ask for information needed to verify identity or scope, and will coordinate with the responsible office. A response time depends on the request, applicable law, record sensitivity, and whether another person or proceeding is affected.
